Introduction 

 

As noted on previous page, with help from the Working Group, we have created templates for the following:

 

    • General Volunteer Protocol Form, useful for any circumstance where a Bonner student or another person will be engaging remotely and/or in person, and also to introduce partners to the concepts of remote engagement.
    • A standard Basic Waiver (two page), which may be helpful for community partners to use with volunteers as well as anytime your institution is engaging students in service in person.
    • A more complex General Individual Liability Waiver, which reflects stronger legal language for the institution, and encompasses both in person and remote activities.
    • A standard Basic Memorandum of Understanding (MOU, two page version), which can be used between the center/program and any community organization/agency. 
    • A more complex General Memorandum of Understanding, which is designed for deeper partners with whom Bonner Scholars and/or Leaders are working over multiple terms. This MOU also contains language to address other dimensions of the experience, such as supervisory requirements, Title IX and non-discrimination policies.
    • A specialized Community Engaged Learning Memorandum of Understandingwhich is designed to help define expectations and processes between students, partner, and a faculty member(s) who are carrying out projects in person and/or online.
    • A sample Campus Internship Form, which includes legal protections for the institution and may be appropriate for any internship that may involve remote and in person connections.
    • A sample Waiver for Events, which is again designed to include strong legal protections for the institution and may be appropriate for any in person events organized at this time.
    • A simple Work Study Agreement Contract, which may help to formulate language and agreements with key partners, such as school districts. 
    • Recommendations for planning and implementing Bonner Cornerstones (including First Year Trip, Second Year Exchange, Capstones, and Presentations of Learning) remotely. 

 

Below, you will find annotated descriptions of each template, as well as links to download the documents. Each document is designed as a template, which can be modified to include the institution, organizations, state, etc and be approved by your appropriate administrators. The next resources in the works pertain to (1) recommendations and tips for online recruitment and selection (which also address diversity, inclusion, and equity), (2) recommendations for Bonner student leaders and Bonner meetings, and some sample calendars; and (3) checklists of what to ask and know as an administrator.

Guidelines and Waivers

 

General Volunteer Protocol Form

This form can be used by centers and shared with partners. It outlines some general recommendations to provide to students in the Bonner Program, as well as other students and volunteers, who you may be placing into community-based positions. It also includes guidelines related to travel to and from sites, where permissible. This is not a waiver or legal document. If you want to execute a legal document/waiver, review the General Individual Liability Waiver form. This document may be a guide for centers, as well as provided to nonprofit, school, and agency partners (and it has text that may be useful for other handouts).

Basic Waiver

This simple two-page waiver can be used by the Bonner Program and its community partners with its student and other volunteers in cases where in person service and community engagement is legal and permissible (in light of local and state laws). It is a simplified version, based on a model executed by a school. Your institution may also want to consider other more complex versions, depending on input from your Risk Management and Legal offices. Should you choose to adapt this waiver, you should consult with your Risk Management or appropriate office. It is based on a model from Bates College.

General Individual Liability Waiver

This longer, more complex waiver reflects stronger legal language for the institution, and encompasses both in person and remote activities. This agreement should only be executed at institutions that have not prohibited in-person volunteer work and community engagement for 2020-21. Its intention is to provide a safeguard in cases where institutional, state, and federal policies do permit in-person volunteer work. The first recommendation for Bonner Program staff here is to share this form with your Risk Management and/or relevant department. Depending on your institution’s approach, you may then edit the language to match other forms and protocol. Should you choose to adapt this waiver, you should consult with your Risk Management or appropriate office. It is based on a model from Maryville College, which has been used previously and updated to integrate implications of COVID-19.

Memorandum of Understanding (MOUs)

 

Note: The Bonner 2020 Working Group suggests that you consult and create your own MOUs appropriate to the community partner, specific projects, and complexity of the relationship and engagement. Some campuses have a simple, short MOU with most partners and longer documents (with more legal stipulations) for others, such as hospitals, where vulnerable populations are served. On the Wiki, we will share other MOU examples (not in template form) that may also guide you.

 

Basic Memorandum of Understanding 

This two-page MOU agreement can be used with community partners to create a straightforward understanding of the relationship between the campus center (and/or Bonner Program) and the agency. It is a simplified version, and your institution may also want to consider other more complex versions, depending on input from your Risk Management and legal counsel. Should you choose to adapt this waiver, you should consult with your Risk Management or appropriate office. It is based on a model from Bates College.

General Memorandum of Understanding

This longer MOU agreement is designed to execute between any nonprofit, school, or agency that hosts and works with volunteers, including students from the Bonner Program, and the center or office on campus which manages this work. It is especially intended for agencies with which the institution and/or program has a sustained relationship that involves regular student volunteer work and potentially other forms (such as service-learning coursework). Review and modify names, dates, and other details as relevant. This MOU is designed for use with sustained partners with whom Bonner Scholars and/or Leaders are working over multiple terms. This MOU also contains language to address other dimensions of the experience, such as supervision, Title IX and non-discrimination policies. It is based on a model from Earlham College.

Community-Engaged Learning Memorandum of Understanding

This MOU agreement is designed to outline the work related to any community-engaged learning project involving faculty member(s), student(s), and administrator(s) and a community partner. That partner could be a nonprofit, school, government office, or agency that hosts and works with volunteers, including students from the Bonner Program or the institution. When creating an MOU for a course, the intention is to bring some clarity to the expectations for each party involved, but without making it so constrained that it prohibits faculty. Often in community-engaged learning projects, work may not proceed exactly as originally conceived. Thus, the MOU also should include information on how those involved will communicate, as well as how often, including key milestones. Community-Engaged Learning MOUs usually have minimal legal language, as they are often undergirded by an understanding of the nature of academic work and research as well.  It is based on a model from Washington & Lee University.

Other Forms

 

Campus Internship Form

This document is designed for students participating in internships. It includes legal protections for the institution and may be appropriate for an internship that may involve remote and in person connections. Statements pertaining to COVID-19 have been integrated within the structure, but the internship waiver addresses all aspects of the experience. Should you choose to adapt this waiver, you should consult with your Risk Management or appropriate office. This is based on a form used at Maryville College, updated to integrate COVID-19 implications.

Waiver for Events

This template includes legal protections for the institution and can be used for events organized at this time. This agreement should only be executed in alignment with current institutional, state, and federal policies for gatherings. If your institution or state has prohibited gatherings for more than a particular number of people, institutions and centers should not plan and/or run such events in person. The form’s intention is to provide a safeguard in cases where institutional, state, and federal policies do permit in-person gatherings and events. Should you choose to adapt this waiver, you should consult with your Risk Management or appropriate office. It is based on a model at Maryville College.

Work Study Agreement Contract

This agreement is designed to be used between a campus center (and/or Bonner Program) and community partner agency, school, or organization that hosts students involved in Federal Work Study. For school-based positions, some institutions execute the agreement with a school district. This template may help to formulate language and agreements with key partners. Should you choose to adapt this agreement, you should consult with your Work Study administrators, Risk Management and other appropriate offices. You will want to check and modify the dates. You will also need to incorporate any other program specific language required by the site, funder, program (such as AmeriCorps), etc. It is based on a model used by Maryville College with its Blount County School District.

Recommendations and Tips (Note: these are not legal documents)

 

Bonner Cornerstones 

This document includes some recommendations for planning and implementing Bonner Cornerstones in light of the COVID-19 pandemic. The Bonner Foundation recognizes that many or most campuses will not carry out activities involving in person work. Still, these activities generally play an important role in students’ developmental growth and learning. Below are some principles for how to approach and modify them to be effective in remote ways. This document addresses Orientation, First Year Trip, Second Year Exchange, Junior/Senior Capstone, and Senior Presentations of Learning.
