Advancing Positions from One Semester to the Next


 

Step 1: Advance Your Positions

From the School menu you want to scroll down to Positions & T&Es and click on Service Partners & Positions.

 

 

Step 2: Go to Available Actions to Advance Positions

The Available Actions pull down menu is located at the top, below the header on the right hand side of the screen. Your "Advance Positions" tab is located there.

 

 

Step 3: Advance Your Positions

You want to make sure to advance the positions that you will be using for the upcoming semester(s). You do this by checking the box for positions you are reactivating in the appropriate semester.

 

 

Note: Avoid Duplicate Partner Entries

This would be a good time to review your entries to ensure that you are avoiding duplicate partner entries each with a different position(s). The screen shot below illustrates an example where a partner has been entered twice accompanied with two distinct positions.

 

 

To fix this when advancing your positions, follow these steps:

  1. Change the name of the partner (e.g., ARC of Crawford County2) to distinguish it from the other.
  2. Advance the position(s) under one of the partner to the next semester.
  3. Then, re-entry the position under the partner title you are not going to use (e.g., ARC of Crawford County2) so that they appear under the partner title you are going to use (e.g., ARC of Crawford County).

 

This is a little extra work, but it will make your ongoing management of BWBRS and the reports work more effectively.
